With the KlickTipp integration, you can transfer your HubSpot contacts to KlickTipp. You can synchronize contacts, selected segment memberships, and custom contact fields. This allows you to use your HubSpot data to launch targeted email campaigns and automations in KlickTipp.

This guide walks you through, step by step, how to connect HubSpot to KlickTipp, set up the opt-in process and the general tag, map fields, and then use segments for tagging in KlickTipp.

Step-by-Step Instructions

Requirements

  • HubSpot Add-on in KlickTipp: Make sure you've enabled the correct HubSpot add-on in your KlickTipp account.
  • HubSpot account: Check that you have access to your HubSpot system and are authorized to establish the connection.

Connect HubSpot and KlickTipp

  • In KlickTipp, go to Marketing Tools and click Add New Marketing Tool.
  • Search for HubSpot and select it. You’ll then be guided through the upgrade process and redirected to the HubSpot integration.
  • If you haven’t subscribed to the HubSpot add-on yet, you can activate it here as an upgrade.
  • An authorization window for HubSpot will open. If you’re not logged in, sign in and grant the necessary access permissions.
  • Confirm the connection. You’ll then be automatically redirected back to KlickTipp.

Set Up Marketing Tools in KlickTipp

  • Enter a name for your HubSpot connection.
  • In KlickTipp, you can optionally assign a label to the marketing tool. This makes internal organization easier.
  • Next, configure the integration in this order: first the opt-in process and the general HubSpot tag, then your field mappings, and finally the segments for tagging.
  • Confirm and save your entries after you’ve set up all three sections.

Set Up the Opt-In Process and General HubSpot Tag

  • Set up the opt-in process that should begin for new contacts after they are transferred to KlickTipp.
  • If you select a double opt-in process, new contacts will receive the corresponding confirmation email.
  • Also, set a general HubSpot tag. All contacts transferred to KlickTipp via this HubSpot integration will receive this tag.
  • Use the general tag if you want to launch campaigns or automations for all HubSpot contacts.

Map HubSpot Fields

  • Specify which HubSpot fields should be mapped to which KlickTipp fields.
  • You decide for yourself which fields are relevant to your process. Therefore, this guide does not include a fixed list of fields.
  • If you add additional fields or change a mapping later, the affected contacts will be updated again with the corresponding field values.

Transform Field Values

During field mapping, compatible values are automatically converted to the format of the selected KlickTipp field. If you don’t need any transformation, you can save the values as text in a line or paragraph field.

Directly within the field mapping, the KlickTipp interface also displays a brief note about possible transformations. There, you can review the detailed rules that apply to your field mapping.

Using HubSpot Segments for Tagging

  • Select the HubSpot segments you want to use for your campaigns.
  • Assign the appropriate KlickTipp tags to each selected HubSpot segment. A contact receives these tags when they are a member of the corresponding HubSpot segment.
  • If a contact leaves a segment, the tag is removed unless another selected HubSpot segment continues to justify the same tag.
  • Manually set tags or tags from other processes are not affected by the HubSpot synchronization if they have not been assigned to a segment. We therefore recommend using new tags whenever possible, as existing generic tags may also be removed when contacts are removed from the corresponding segment in HubSpot.

Transfer Contacts from HubSpot to KlickTipp

  • Once setup is complete, an initial full data sync will begin in the background. Depending on the number of your contacts, this may take some time.
  • After that, the data status is checked regularly every 12 hours through a full sync.
  • Changes to supported HubSpot fields can also be processed more quickly.
  • Changes to HubSpot custom properties do not trigger immediate synchronization on their own in the current integration. This also applies if the change is made via a HubSpot form.
  • The value will be applied during the next successful full sync, which is scheduled to occur every 12 hours. If a HubSpot property changes before then, the contact may already be updated as a result of that event. Therefore, the transfer is not guaranteed to be real-time.
  • You can also start the sync manually if you make changes or want to test something. To do this, click → Save and Transfer Contacts  or → Save and Transfer Segments  in the integration.

Data Transfer from HubSpot

The integration transfers data from HubSpot to KlickTipp. You can specify which contact fields are transferred via your field mappings.

The email address serves as the mapping key for the contact. There are some important details to note here:

  • When you change a HubSpot contact's email address, a new contact is created in KlickTipp.
  • A contact without a valid email address cannot be successfully transferred to KlickTipp. In this case, please first add the email address in HubSpot.

Important: Please note the following regarding the link to change your email address in KlickTipp:

  • Since data is currently transferred exclusively from HubSpot to KlickTipp, changes made by contacts in KlickTipp are not reported back to HubSpot. To avoid discrepancies in your data, we strongly recommend that you do not use the link to change the email address in your KlickTipp emails.
  • Instead, please ask your contacts to contact your support team if they need to make changes, so that the email address can be updated manually first in KlickTipp and then in HubSpot.

Launch a KlickTipp Campaign Using HubSpot Contacts

  • Campaign for all HubSpot contacts: Create a campaign that is triggered by the general HubSpot tag.
  • Campaign for a specific group: Create a campaign that is triggered by a tag you’ve assigned to a HubSpot segment.
  • Example: You assign the KlickTipp tag → Webinar  to the HubSpot segment → Webinar Prospects.  Contacts from this HubSpot segment receive the tag in KlickTipp, which allows them to trigger the corresponding campaign.
  • Tip: Use separate tags for different segments and campaigns. This makes it easy to track which contacts enter a campaign via which HubSpot segment.

Frequently Asked Questions

Why does KlickTipp say “Yes” even though HubSpot shows “Ja”?

HubSpot can display the values of some standard fields in the appropriate language based on the logged-in user's language. KlickTipp uses the option label from the HubSpot properties configuration. For example, if “Yes” is stored there, KlickTipp will save “Yes,” even if HubSpot displays “Ja” to a German-speaking user.

Why doesn't a change to properties appear immediately in KlickTipp?

HubSpot sends real-time notifications only for properties that an app has explicitly subscribed to. Since some properties are customer-specific, KlickTipp cannot automatically subscribe to them. Changes to these properties will therefore not be reflected until the next successful full sync, which occurs every 12 hours as scheduled. If another HubSpot property changes in the meantime—such as the email address or first name—the contact may already be updated as a result of that event.

Why can't I see all HubSpot properties?

Our selection field for HubSpot properties is limited to 100 entries. If you need additional fields, simply search for the name of the property you want—for example, "Lead Status"—and then select it.

Can I connect my HubSpot accounts to multiple KlickTipp accounts?

No. You can only link one HubSpot account to one KlickTipp account.
