Set Up a Gravity Forms Workflow with KlickTipp

Step-by-Step Instructions

This guide shows you step by step how to configure Gravity Forms, generate the required access data, create your form and connect it to KlickTipp via Make.

Prerequisites

  • KlickTipp account with API access: Check if you have a Premium subscription or higher to use the API.
  • Gravity Forms account: Make sure you have an active Gravity Forms account. This can be the demo or full version.
  • Make account: Make sure that you have a Make account.

Preparations in KlickTipp

Create Data Fields

To ensure that the data from Gravity Forms is transferred correctly to KlickTipp, create these master record fields in your KlickTipp account:

With these data fields, you can save specific data such as LinkedIn profiles, course evaluations, feedback and contact preferences from Gravity Forms in KlickTipp and process them easily.

Register Gravity Forms

  • Go to the Gravity Forms pricing page to start the registration process.
  • Scroll down to → Try Our Demo and select → Start Your Test Drive  to start the demo.
  • Enter your details: Enter your first name, last name and email address and confirm them. Solve the captcha and then click → I'm ready, let's build some forms.
  • After registering, you will be automatically redirected to the dashboard where you can get started straight away.

Create Form in Gravity Forms

  • Create a new form:
    • Select → Create a New Form and choose → Blank Form  to start a new form.
    • Give your form a suitable title and description, such as → Feedback form for KlickTipp.
  • Add fields:
    • Create the following fields:
      • First name: A one-line text field.
      • Last name: A one-line text field.
      • Email address: An email field.
      • Phone number: A field for phone numbers.
      • Date of birth: A date field in the format → dd.mm.yyyy.
      • LinkedIn URL: A field for URLs.
      • Feedback rating: Radio buttons with a scale from 1 to 5.
      • Selection field: A field for selecting the webinar date in the format → 2025-01-31 13:00
      • Open question: A multi-line text field.
      • Checkbox for contacting: A consent, e.g. → I agree to be contacted.
  • Save the form with → Save Form  and view it via → Preview  to make sure everything fits.
  • After the preview, you can publish the form. Select → </> Embed,  click on → Create NewPage  and enter the name of the form page.

Import Make Scenario

  • Create the necessary scenario via our import link and follow the wizard or the guided setup or import the template and customize it manually using the following steps.

Set up Gravity Forms Module

  • Click on the Gravity Forms module in the scenario and open the settings.
  • Create a new webhook and give it a suitable name.
  • Under ConnectionAdd,  select to create a new connection and enter your Gravity Forms access data.
  • Under Host URL, enter the URL to the Gravity Forms instance you are working with.
  • Open the REST API settings of Gravity Forms and activate them via the checkbox → Enabled.
  • Create a new API key under → Authentication ( API version 2 )
  • Under → Consumer Key and → Consumer Secret,  enter the access data that you received after creating the API key in Gravity Forms.
  • Select the form you want to use for data transfer.
  • Under → Maximum number of returned entries,  define the maximum number of entries collected in Gravity that should be transmitted for each defined time interval of the trigger.
  • Save the settings with → Save.

Important to Know

Gravity Forms does not offer direct processing of the incoming data but only a comparison at a defined time interval. Gravity Forms does not validate the validity of the e-mail addresses.

It is therefore possible that Gravity Forms accepts email addresses that are not accepted by the KlickTipp API, e.g. email addresses from trash domains.

In the event of a processing error on the part of Make, we therefore recommend that the existing entries are checked within Gravity Forms. If they contain addresses that are not accepted by KlickTipp, these should be removed.

Set up KlickTipp Module

  • Click on the KlickTipp module and open the settings.
  • Under → Connection, either select an existing account or create a new one via → Add.
  • Enter your username and password from KlickTipp - either from the main account or from a sub-account with API rights.
  • Select the desired opt-in process from the drop-down menu
  • Optional: Define a tag to automatically segment the contact.
  • Now assign the fields from Gravity Forms to the corresponding fields in KlickTipp - for example
    • First name → fieldFirstName
    • Email → Email
    • Date of birth → fieldBirthday (in UNIX timestamp)
    • etc.

Activate and test Scenario

  • Click on → Run once at the bottom left to test the scenario.
  • Open the published Gravity Forms form via the previously copied link.
  • Fill in all fields and submit the form.
  • Switch to your KlickTipp account and check whether the data has been transferred correctly.
