Automation Test

  • Create a test invoice in Lexware with a due date and a public document link.
  • Run the scenario (or trigger the webhook). Check whether a contact is created or updated in KlickTipp and whether the assigned custom fields are filled in correctly.
  • Change the invoice status in Lexware to → Paid  and run the scenario again. Confirm that KlickTipp removes → Lexware | Open Invoice,  adds → Lexware | Paid Invoice,  and correctly records the payment date and amount.

Go Live

  • After a successful test, switch the Make scenario to live mode and activate it.
  • If you are using the polling method, set the polling interval. For webhooks: Make sure the webhook URL is active in Lexware and that the scenario is running.
  • Verify that your KlickTipp API key and your Lexware login credentials are stored in Make and are secure. Once the scenario is active, it synchronizes invoices and contact data and automatically triggers your reminder campaign.

Make: Lexware Office and KlickTipp Invoice Status Sync

To get started, click the link below to import a ready-to-use Make scenario that automatically syncs changes to the Lexware invoice status with KlickTipp segments.

Quick Import Steps

  • Open the template link and click → Use Template  in Make.
  • Create a new scenario based on the template.
  • Enter your Lexware API credentials or add the Make webhook URL to Lexware if the template uses webhooks.
  • Add your KlickTipp API key if the KlickTipp module asks for it.

Testing the Automation

  • Create a test invoice in Lexware with a due date and a public invoice link.
  • Trigger the template (create an invoice or wait for the webhook/polling). Verify that a contact has been created or updated in KlickTipp and that the fields → Voucher URL  and → Payment Due Date  are filled in correctly.
  • Mark the invoice as paid in Lexware and verify that KlickTipp removes → Lexware | Open Invoice  and adds → Lexware | Paid Invoice.

Activate the Scenario

  • After successful testing, switch the scenario in Make to → Live.
  • If the polling method is used, set the polling interval to your desired frequency. For webhooks: Make sure they are enabled in Lexware, and activate the scenario.
  • Use the tag → Lexware | Open Invoice  as the trigger for your reminder campaign in KlickTipp; the tag → Lexware | Paid Invoice  stops the reminders and triggers further automations after payment is received.

Next Steps

  • Enable reminder campaign: Start your friendly reminder sequence as soon as the tag → Lexware | Open Invoice  is added.
  • Automatic tagging: Have the Make scenario add the tag → Lexware | Open Invoice  to new/open invoices and replace it with → Lexware | Paid Invoice  upon receipt of payment.
  • Segment contacts by payment status: Create segments for delinquent customers (Open Invoice + Payment Due Date Passed) to send targeted escalations or personalized follow-ups.
  • Trigger transaction and nurture emails: Use invoice events to start flows — e.g. → invoice createdgentle reminder sequence,  → payment receivedthank-you email + upsell campaign.
  • Reporting and cleanup: Use custom fields (invoice number, amount, due date, coupon URL) for personalization and to avoid duplicate invoices—the workflows should reliably detect and prevent duplicates.
  • Error handling: Configure Make to report errors (e.g., via email or Slack) so you can correct missing data without creating duplicate contacts.

Summary

By integrating KlickTipp with Lexware Office, you can combine marketing and finance: contacts, invoices, and sales data are automatically synchronized, saving you time, preventing errors, and allowing you to send more targeted, relevant campaigns.
